What are email sequences?
An email sequence is a series of pre written emails sent automatically at set intervals to prospects. Instead of manually remembering to follow up with every lead, you create a sequence once and let it run.
For independent agents, email sequences save time, ensure consistent follow up, and keep prospects engaged even when you are busy with other activities.
Designing your sequence
A typical prospecting sequence has four to six emails spaced over two to three weeks:
Email 1 (Day 1): The introduction
A personalised outreach email that introduces who you are, identifies a problem the prospect likely has, and suggests a conversation.
Email 2 (Day 3): The value add
Share a useful resource, insight, or case study relevant to their situation. No hard sell, just value.
Email 3 (Day 7): The social proof
Reference a customer success story or testimonial from a business similar to theirs. "I recently helped [similar business] achieve [specific result]."
Email 4 (Day 10): The direct ask
Be more direct about scheduling a conversation. "I have sent a couple of notes and wanted to check if you would be open to a quick 10 minute chat this week."
Email 5 (Day 14): The breakup email
Let them know this is your last email for now. Surprisingly, breakup emails often get the highest response rates. "I will not keep filling your inbox. If the timing is ever right, I would love to hear from you."
Personalisation at scale
The most effective sequences balance automation with personalisation:
- Personalise the first line of each email with something specific about the prospect
- Use merge fields for name, company, and industry
- Write the body in a conversational tone that feels human, not robotic

Measuring performance
Track these metrics for your sequences:
- Open rate: Aim for 40% or higher
- Reply rate: 5% to 15% is typical for cold sequences
- Positive reply rate: Track how many replies are interested vs unsubscribes
- Meeting rate: How many emails does it take to book one meeting?
Best practices
- Keep each email under 100 words
- Send from a real email address with a proper signature
- Respect unsubscribe requests immediately
- Test different subject lines and opening lines
- Do not run the same sequence to the same prospect more than once
Email sequences are not a replacement for genuine human connection, but they are an excellent way to ensure consistent follow up while freeing your time for the conversations that matter most.
